COMPANY ROLES & NATIONAL LICENCEES

Company-role information updated 1 October 2026. This section clarifies the organisations responsible for the activities described and takes precedence over any older company-role wording elsewhere on this page.

3v3UK Ltd is responsible as controller for UK bookings and activities that it operates. AirPitch International Ltd trading as 3v3 World is responsible as controller for its own World enquiries, national licence applications, awards, equipment enquiries and marketing activities. Both companies can be contacted at 46 Hullbridge Road, South Woodham Ferrers, Essex, CM3 5NG, United Kingdom. For 3v3UK Ltd email info@3v3.co.uk; for AirPitch International Ltd email info@3v3world.com.

Independent national licencees operate their own businesses and take their own bookings and payments. The licencee organising your event is the controller for the information it uses to manage those bookings, deliver the event and communicate with its customers. Its legal business name, contact details and applicable local privacy information should be provided with the booking. Sharing the 3v3 brand or platform does not make the licencee part of either UK company.

Where AirPitch International Ltd stores or administers booking information solely on a national licencee’s documented instructions, it acts as a processor for that activity. The same distinction applies where it supplies those services to 3v3UK Ltd. Processing on behalf of a controller must be covered by a written data-processing agreement meeting applicable UK GDPR requirements. This notice is not that agreement and does not confirm that an agreement has already been signed.

UK LAW & LOCAL REQUIREMENTS

The UK companies’ processing is governed by the UK GDPR and the Data Protection Act 2018, as amended, where applicable, together with the Privacy and Electronic Communications Regulations for relevant electronic marketing and cookies. Other applicable countries’ privacy requirements and individuals’ rights continue to apply; using this platform does not replace them with UK law.

CENTRAL STORAGE, ACCESS & SHARING

Country customer records are separated within the platform and access is governed by account permissions. Authorised country teams and event organisers use records for their duties; central access is for the relevant administration or support purpose. Central storage does not give either UK company permission to use every country’s customer list for its own purposes.

We do not represent that all information is stored exclusively in the UK. Physical hosting, backups, service providers and overseas support or licencee access must be considered together. Making information accessible to a separate organisation abroad can be an international transfer even if the server is in the UK. Where UK transfer restrictions apply, the responsible organisation must establish an applicable adequacy arrangement, appropriate safeguards or another lawful transfer route. Ask the relevant privacy contact for the arrangements and any available copy of safeguards applying to your information.

MARKETING & PRIVACY REQUESTS

Booking with a national licencee does not automatically subscribe you to marketing from AirPitch International Ltd or 3v3UK Ltd. Optional country and World email marketing choices are separate from necessary booking messages. You can withdraw marketing consent or object to direct marketing using the preferences link or relevant privacy contact.

For a local booking, contact the organising licencee first. Where a UK company acts only as its processor, requests about that booking are referred to the controller and supported under its instructions. For a UK company’s own activities, contact that company directly. Where UK GDPR applies, you have rights of access and correction and, subject to legal conditions, erasure, restriction, portability and objection. You may withdraw consent at any time and complain to the Information Commissioner’s Office. You may also have rights and a complaints route under applicable local law.

About this notice

Read this shared information together with the organisation and service details on this page. Different organisations may be responsible for country events, World activities and equipment orders. Their roles and contact details are identified in the service details.

Country event registrations

Team entry forms collect the manager or parent contact name, email, phone number, team name and age group, with entry, attendance, payment status and communication preferences. Information is supplied by the person entering the team; managers should share this notice with anyone whose details they provide. Team names, age groups, fixtures and released scores may appear on public event pages. Manager contact details are not displayed publicly.

Event customer records are held in country-scoped records in the shared World database. National customer access and local organiser access are controlled by account permissions. Logical separation does not mean the information is physically hosted in that country. The hosting and transfers section explains the confirmed arrangements.

Booking updates and optional marketing

Contact details are used for booking administration, fixtures and important event changes. Future event emails from the country organisation and from 3v3 World have separate optional, unticked choices. Entry does not depend on agreeing to marketing. Marketing permission can be withdrawn using the private team preferences link or by contacting the organiser. Withdrawing permission does not affect earlier lawful use or necessary booking communications. World marketing permission does not itself authorise an international data transfer.

Children, photos and testimonials

Team registration is intended for an adult manager, parent or guardian. Do not include unnecessary information about children or sensitive health information in free-text fields. Awards nominators must have permission to submit photos and testimonials, including parent or guardian permission where children are pictured. Submitted awards material is private for review; separate permission is sought before publishing submitted photos or testimonials.

Sign-in, service providers and linked websites

Administrator sign-in uses ChatGPT. The site receives account identity information needed to apply access permissions. Hosting and security providers process technical information to deliver and protect the service. Payment providers and external forms, videos or websites may process information under their own notices. Read their notices when following links or using their services.

Your choices and requests

Use the privacy contact in the service details to ask about your information, request corrections, exercise applicable rights or withdraw marketing consent. Rights depend on the applicable law and the purpose of processing. You can object to direct marketing. We may need to verify your identity before responding. You can complain to the relevant data protection authority.

Changes

The version and publication date identify this notice. Material changes should be explained when they affect how your information is used. A revised notice does not replace any new permission required for a new use.
